To create a new Session, navigate to Schedule and select Sessions from the dropdown menu. Next click Add + to open the Session editor.
Session: Write the name of your session here! It should be unique, so that you can track it later.
Description: A description can be added, which will appear to the applicants in the schedule.
Belongs to Group: Select the group that the session belongs to.
Adjudicators: All adjudicators that should have access to this session, should be added here.
Location: An optional field to add the location of the audition/interview, such as address or room number.
Session Start Time: This should be the date and time of the first audition/interview slot.
Session End Time: This should be the date and time that your last audition/interview ends.
Display Timezone: Set this to the timezone that the session is taking place in.
Open Date: The date when applicants can start selecting their timeslots. If you are scheduling for the applicants, this should be the date that you want them to view the schedule.
Close Date: The date applicants can no longer select a timeslot/make changes to the schedule. If you are scheduling for the applicants, set the close date to the same date as the open date.
Release Schedule Date: If set, the date when scheduled and invited applicants will be able to the view the schedule.
Timeslot Duration (minutes): Number of minutes for each timeslot. For block auditions, set this number to to the total length of the audition.
Timeslot Break (minutes): Number of minutes between each timeslot. For no breaks, set this to zero (0).
Simultaneous Timelosts: Set this number to the number of applicants who can audition at one time. For block auditions, set this number to the total you can take for each block.
Allow Self-Removal: If enabled, this allows applicants to remove themselves from the scheduling group without approval from the organization.
Enable Waitlist: If enabled, this allows students to put themselves on a waitlist when the sessions is full. This is just a holding area; applicants will still need to be manually scheduled if slots open.
